Mail Services Window is located in the back of the Reed Union Building; follow the hallway besides the ATM machine, on the first floor.  Student Mail Boxes surround Mail Services on all sides.

Student Mailing Instructions

When people send mail  to you on campus have them always include your Mail Box #, and a return address on all mailings.  For students to receive packages efficiently, the mailing address format should be:

     (Student Name)

LION CASH PLUS can be used to buy postage for your packages and/or specialty mailings when over $1.00, and brought to the Mail Services window.  The Mail Service window accepts no cash or credit cards. 

Single USPS Postage stamps may be purchased at the RUB Information desk, while books of USPS postage stamps can be purchased at the Campus Bookstore; both areas are located on the first floor of the Reed Union building.

Student Mailbox General Information        

Student Mail boxes are for On-Campus Resident Students only, and are assigned by the Operations Department.  Your mailbox assignment is used for the duration of your resident years here at Behrend.  Whenever your status with the University changes to that of a commuter student, or you leave the Behrend campus, your mailbox is terminated and you must change your address with the USPS to receive your mail.

All new students residing here must apply for a mailbox, see the REQUEST FOR CAMPUS MAILBOX form in the section below this one.  Commuter Students are not given mailboxes to assure availability for Resident Students.

There are two students to one mailbox.  All students are obligated to follow USPS regulations, making it a felony to tamper with mail that is not theirs. 

Mail is returned to the sender after 10 days of not being picked up by the recipient.  If the mailbox is too full, check at the window for your mail, it will be held in the mailroom for pickup, then returned to sender after the 10 days.  Newspapers are picked up at the Mail Service window, because they take up too much space in the box.

Please make sure you visit your mailbox frequently during the semester, as they are small and are shared by two people.

Students with PSBehrend mailboxes will have to submit a change of address form to have all mail properly forwarded for the summer months, only if  they want their mail sent somewhere other than their home address, which we already have in our files.  All mail is removed at the end of the Spring semester; and only first class mail is forwarded, not "junk" mail or magazines. 
 

Student Request for On-Campus Mailbox

On-Campus Student Mail Boxes may be requested on-line by filling in a
REQUEST FOR CAMPUS MAILBOX form, then submit it online to Operations.  Commuter Students are not given mailboxes to assure availability for Resident Students.  (Please do not reapply for another mailbox once you have been assigned one for your stay on this campus, unless your residency status with the campus changes.  While living on campus you will retain the same box for all your semesters here at Behrend.)

After about 10 days (sometimes longer at the beginning of the Fall Semester) from submitting your application for a mailbox you must go to the Student View Mailbox and Combination site to see your PSBehrend mailbox assignment and combination.  You will need your user ID and password for this is a secured site.

Address Change                             

If you need to change your permanent address with the US Postal Service use the link below:

NOTE:  When changing your address online at USPS, follow these steps; you must change your name as Individual.  Under Old Address put the address that you registered with at the University, not the campus address. Then, under New Address fill in your new forwarding address. It will then continue to verify your address, and you may submit. If you have problems with this, please contact us at our email address listed at the bottom of this page, or USPS Customer Service.

Remember that it is your responsibility to give your new address to those that will be sending you mail or packages (ex. magazines, credit cards, family, friends, retailers). We will forward only 1st Class mail for a limited time after you have left our campus residence, we do not forward packages, they will be returned to sender.
 

Student Logon Package Tracking System

When the mailroom receives a package we log it into the Package Tracking System and an email will automatically go out to the recipient to inform them that a package(s) is waiting for them to pick up at the Mail Services window.  A second notice will be sent to the recipient after 7 days of the package arrival, if the package(s) has not been picked up.  After 10 days the package will be returned to sender and an email sent to the recipient that states the package has been returned to the sender. 

Only the person whose name is on the package(s) can receive that package(s) at the Mail Services window, and only after logging in to the 'Acceptance Site'; picture ID may be  needed as well, if the LogOn system is down.  Once you sign for a package, it becomes your responsibility.  Packages can be picked up after 11:00AM.  Window hours are posted at the top of this page.

Students may view all of their incoming package(s) that have been received in the Mailroom by going online after 11:00AM at http://pserie.psu.edu/mymail.  You will
need your user ID and password for this is a secured site.

Student - United States Postal Service Packages

If you have a US Postal Service package to mail, you must have proper address information and a return Behrend College address. The shipper must get the package weighed at the Mail Services window, and use LionCash to mail the package. 

UPS/FedEX Regulations

UPS / Express Mail Pick-up: must be done on-line, knowing the package weight
and location.  UPS Express pickup hour is 4:00p.m., Monday through Friday.  Their drop off box is located on the Lower Level, in the Reed Union Building. 
Packages that will fit into the drop box must be placed there by 3:30pm. for pickup. 

UPS:  Larger United Parcel Service packages must have a pre-paid UPS label, which can be created on-line. Packages that are too large for the pickup box located on the Lower Level, in the Reed Union Building, must be taken off campus to a UPS drop site.

Personal packages must be done on-line because of additional charges assessed by UPS.

Faculty/Staff Mailing Instructions

Inter-office: Please address inter-office mail with the Name of the person you are sending the mail to and the Department.  If you are mailing to on-campus students,
the current Student Mailbox List is here.

To assure proper delivery, be sure to cross off the previous name/department on all inter-office envelopes.

Dispose of any tattered and torn envelopes.  
   
                                                     

University Park Mail: UP mail must be fully addressed. Large packages and large envelopes are sent as first class mail by the Mail Room.  Smaller envelopes are boxed and sent as one large package each day.  You can use inter-office envelopes as long as you put the full address in the address area.  The mails are sorted as incoming mail at University Park and must have the proper address.

We can all save money if we send documents electronically and by fax whenever possible.

All Outgoing Mail:  Must have a departmental budget number on it for processing.  You can write it, stamp or print it on your envelopes.  For packages you can place the budget number between the return address and postage area, or print it with your return address label.  If you have a large mailing under 100 pieces, you may bundle the pieces together and place the budget information securely on the top piece of mail.

Letters:  All letters must have the proper USPS address as well as a return address on them.

If you have a letter mailing, which has 100 or more pieces, you need to put this mailing on our schedule by filling in
the SCHEDULE MAIL SERVICES FORM online.  Please check, before doing a large mailing to see if your mailing can be printed and sent as a bulk mailing. There is a significant cost savings in using bulk mail processing (these Bulk Labels are printed with zip+4 and pre-sorted).

United States Postal Service Packages:  Packages must be properly prepared for mailing according to the USPS guidelines with a full address and return address.  You must notify our Mail Services for a pickup of a large USPS package(s), by filling in the SCHEDULE MAIL SERVICES FORM online..

Any perishable packages must be reported to Mail Services for proper handling.


Departmental Package Viewing/Acceptance:  Incoming package(s) for your department that are in the Mailroom can be viewed by the Department by going
online at https://secure.bd.psu.edu/wa/ohrmail/dept/deptMyPackages.cfm

Only the person responsible for accepting packages for their department must go online to the 'Acceptance Site' (given only to the proper accepting perople to sign for them automatically when the package(s) arrive with their department's mail.  (If the system is down that person will have to sign a paper form for the package(s) upon receiving them.)  Once you sign for a package, it becomes your responsibility.

 

Department Delivery Times

Mail is delivered once a day to the individual  departments on campus from:      
             
11:00a.m. - 2:20p.m.  Mail will be picked up from the departments at that time.

Large Mail Pickup

Please notify Mail Services if you are expecting a large shipment, or planning to send a large number (100 or more) of mail pieces.  The pickup and/or delivery will need to be scheduled during a time other than the usual mail pickup and delivery time.  Please use this SCHEDULE MAIL SERVICES FORM online to get it on our schedule.
 

Department Bulk Mail                                                    

Bulk mailings have specific guidelines to follow in their printing, content and presentation of the mailing.  There is a significant cost savings in using the bulk mail processing (Bulk Mail Addresses are printed on the pieces to be mailed that include the zip+4 and are pre-sorted).

Bulk Mailings must be scheduled two weeks in advance for mail processing.  See
the schedule.

Mail Service will pick up the mailing one day prior to the scheduled date.  We do not store bulk mailings in the mailroom.  Mail Service does not have space for storage.

Bulk mailings should follow all the guidelines for a bulk mailing, and a sample should be presented to Mail Service staff when scheduling the mailing.  This will allow the
staff to review the mailing and correct any potential problems that may delay the mailing.

Please attach a SCHEDULE BULK MAILING FORM with your sample or mailing.

Bulk mailings that get the best price are run on 20# paper, which is tri-folded, and tabbed.

You must notify Mail Service, when scheduling, if your mailing will need to be tabbed.

The department requesting the bulk mailing must provide the mailing list through an emailed file, on disk, or a CD (Smart Mailer) for mail processing.  Mail Service does not prepare the data for labeling of mail pieces.

Dated mail must be scheduled to be processed at least ten days in advance of the date to be received.

A department who has put address labels on their bulk mailing must also put that mailing in zip code order prior to being picked up by Mail Services.

Be sure you have enough mail pieces to fill the requested mailing.  (You have sent a label list of 1200 names and only 1000 pieces to mail, the post office will reject the mailing.)  If possible, a couple of extra pieces (10-20) should be provided to replace any that may get damaged during processing.
