Facility Reservation Guidelines

Athletic facilities at Penn State Erie, The Behrend College include the Junker Center,   Erie Hall, two sand volleyball courts, a varsity baseball field, a varsity soccer field, a varsity softball field, and intramural field space.

It is the intent of the Department of Athletics to make these facilities available for use by Penn State Erie faculty, staff and students, as well as for groups not affiliated with Penn State Erie. The following are guidelines and procedures that must be followed in order for individuals or groups to reserve any of Penn State Behrend's athletic facilities. Priority for Use of Facilities

The Department of Athletics has developed the following guidelines for the priority use of its athletic facilities. The following activities have priority use of athletic facilities and are listed in order of priority:

  1. Scheduled University classes (8:00 am to 4:00 pm, Monday through Friday).
  2. Varsity team practices and competitions.
  3. Scheduled Intramural events.
  4. Sport Club team practices and competitions.
  5. Open recreation use by Penn State Erie faculty, staff and students.
  6. Penn State Erie affiliated departments, clubs, organizations, faculty, staff and students.
  7. Non-University affiliated organizations and groups.

The athletics director, aquatics director and the facilities coordinator will determine exceptions to this priority listing.

General Information

  1. Any event considered being potentially harmful to the public image of either the Department of Athletics or Penn State Erie will be rejected.
  2. Any event considered potentially harmful to the facility will be rejected.
  3. All events must go through the Department of Athletics and the facilities coordinator or aquatics director, who will determine the availability of the facility requested.
  4. Several items will be considered before a facility reservation is accepted:
    • The facility schedule will be examined in order to ensure that there is enough open recreation time available for faculty, staff, and students.
    • The facility schedule will be examined in order to ensure that the facility or field is not overused to the point that it is damaged. For example, outside field space must not be used so much that the fields become damaged.
  5. Advance notice must be given in order to reserve the use of a facility. Penn State Erie affiliated groups must give one to three weeks notice. Non-University groups must have their request in three weeks prior to the requested date of use.
  6. Special arrangements for equipment or set-up are possible. All equipment and set-up details must be discussed with and approved by the facilities coordinator or aquatics director prior to the event.
  7. All facilities must be left in the same condition that they were found. Any damage caused to the facilities will be the responsibility of the individual and/or group involved.

Insurance

Non-University affiliated groups or organizations must obtain a certificate of insurance from their insurance company. The certificate of insurance must specify The Pennsylvania State University as an additional insured party. Penn State Erie college athletic facilities will not be reserved for any non-University affiliated group without a proper certificate of Insurance.

Reservation Guidelines

For University Affiliated Groups:

   Other Campus Departments

  1. Contact the facilities coordinator or aquatics director to obtain an athletic facility reservation form. This form must be completed and submitted to the facilities coordinator or aquatics director. At this time you must be able to provide the following information:
    • The purpose for your use of the facility.
    • The dates and times that you need the facility.
    • Set-up and tear-down times.
    • If Maintenance & Operations will be involved in the set-up and teardown, you will also need to supply a copy of the work-order.
  2. Once your request has been approved you will receive an activity confirmation report. Please review this report to make sure everything is in order.
  3. Remember that all facilities must be left in the same condition that they were found (side baskets back down, bleachers pushed back in, floor mats put away, etc.). Should the facility not be found in its original condition you and/or your group will be responsible for returning to its original condition immediately. Also, any damage caused to the facilities will be the responsibility of the individual and/or group involved.

   Student Clubs and Organizations

  1. Contact the facilities coordinator or aquatics director to obtain an athletic facility reservation form. This form must be completed and submitted to the facilities coordinator or aquatics director. At this time you must be able to provide the following information:
    • The purpose for your use of the facility.
    • The dates and times which you need the facility.
    • Set-up and teardown times.
    • If Maintenance & Operations will be involved in the set-up and teardown, you will also need to supply a copy of the work-order.
  2. You must then obtain a room reservation request form from the Office of Student Activities in the Reed Union Building (first floor). No facility may be reserved without completing this form.
  3. Once both reservation forms are completed the facilities coordinator or aquatics director will determine if your group or organization may reserve the use the facility requested.
  4. Once your request has been approved you will receive an activity confirmation report. Please review this report to make sure everything is in order.
    5. Remember that all facilities must be left in the same condition that they were found (side baskets back down, bleachers pushed back in, floor mats put away, etc.). Should the facility not be found in its original condition you and/or your group will be responsible for returning to its original condition immediately. Also, any damage caused to the facilities will be the responsibility of the individual and/or group involved.

For Non-University Affiliated Groups:

  1. Contact the athletic facilities coordinator or aquatics director to obtain an athletic facilities reservation form. At this time be prepared to provide the following information:
    • The purpose for your use of the facility.
    • The dates and times which you need the facility.
    • Set-up and breakdown times.
  2. The Facilities Coordinator or Aquatics Director will determine if your group or organization may reserve the use the facility requested.
  3. Once the availability of the requested athletic facility is determined you must complete the request for use of Penn State Erie facilities by non-university organizations/groups form. This form may be sent to you for completion or may be completed over the phone. No facility may be reserved without completing this form.
  4. Once the request for use of Penn State Erie facilities by non-University organizations/groups form is completed a certificate of insurance must be sent to the facilities coordinator or aquatics director. These two forms will be sent to the Business Office. The Business Office will then send you a letter regarding policies and regulations when using facilities, and a confirmation letter which must be signed and returned to the Business Office, Glenhill Farmhouse, Penn State Erie, The Behrend College, 5091 Station Road, Erie, PA 16563.
  5. Once the Business Office has the completed request for use of Penn State Behrend facilities by non-University organizations/groups form, the certificate of insurance and the signed confirmation letter your registration of the facility requested will be complete.
  6. Remember that all facilities must be left in the same condition that they were found (side baskets back down, bleachers pushed back in, floor mats put away, etc.). Should the facility not be found in its original condition you and/or your group will be responsible for returning to its original condition immediately. Also, any damage caused to the facilities will be the responsibility of the individual and/or group involved.
